In this times of Coronavirus lock down across major countries of world, where business are re drafting their Business Continuity Plan and thinking various ways to continue business with limited work force, it has been difficult task to define and formulate work from home policy.

A company needs a defined work from home policy to make it work. it should always be in black and white so employee feel comfortable, terms are documented with out ambiguity and employee can give their best productivity. Further employer should define work from home is on a continuous basis or for a specific, limited period of time

1) Decide which employees can work from home

You need to chose employee with good work ethics, not every employee can work effectively with little supervision.

2) Define Expectation

The work should be quantified and communicated. Day end reports need to be taken in a pre defined format and marked to all senior or reporting head. Employees always be available for communications via instant messaging, video chat, or phone. Even hourly time spend reports can be asked

3) Ensure Data and Laptops Security

Do provide company devise like laptops is possible, employee using own devise has always risk for data breach, may introduce virus to company network or common cloud storage

4) Define benefits and expenses employer is going to cover

High speed internet and Wifi, phone, electricity and other utilities, and office supplies can be provided to employees or cost for it can be reimbursed. You may also require to provide additional software for security and data protection. The cost saved by employer like rent, office electricity and commute expenses of employee can be adjusted against proving employee additional allowances to work from home

5) Define Liability of Employer

The Employer should not be liable for injuries to third persons, including family members, at the home work site. The employer is not liable for damages to the employee’s personal or real property, like in case of fire or any other disaster

Introduction

The working from home policy includes the measures that we are actively taking to mitigate the spread of coronavirus. All the employees are kindly requested to follow all rules diligently

This working from home policy is susceptible to changes with the introduction of additional governmental guidelines. If so, we will update you as soon as possible by email or alternative means of communication

Scope of Policy

Covers all payroll employee of our Company XYZ except employees on contract

Sick Leave

If employees have cold symptoms, such as cough/sneezing/fever, or feel poorly, request sick leave or work from home immediately

If employee have a positive COVID-19 diagnosis, then he / she can return to the office only after you’ve fully recovered, with a government doctor’s note confirming your recovery

Apply to HR for 20 days work from home in following cases

Recently returned from areas or countries with a high number of COVID-19 cases or close contact with someone infected by COVID-19 or you need to provide care to a family member infected by COVID-19 then we’ll ask you to work from home for 20 days

Approval for Work from Home and Sick Leave

All Employee has to take two approval one from HR and other from Business Head

Employee shall be available on calls as and when required by the client or the reporting manager

Employee shall adhere to the terms of the confidentiality during work from home

Employee ensure that data is secured in accordance with company’s information management policy

Reimbursement of Expenditure

Employees will be eligible for reimbursement of expenses of internet connection after approval of Business Head

Following expense will be covered, WIFI Modem and Internet and 30% Electricity for the month

Limited Liability

The Company is not liable for injuries to third persons, including family members, at the home work site. The Company is not liable for damages to the employee’s personal or real property
